What is availability-based lead routing?
Availability-based routing only assigns leads to reps who can actually work them right now. It checks working hours, time zone, shift pattern and out-of-office status before assigning, and skips anyone who’s away. Distribution Engine handles all of this natively in Salesforce, and gives you a rule for the leads that arrive outside working hours.
How do I stop leads going to reps who are out of office?
Reps mark themselves out of office in Salesforce, and Distribution Engine skips them for as long as they’re away, then puts them back in the rotation on their return. You don’t have to remember to pull anyone out before a holiday, and a lead never sits unread in the inbox of someone who’s on a beach.
Does Salesforce support out-of-office for lead assignment?
No. Salesforce has Business Hours and Holidays objects, but native lead assignment rules don’t consult them, and there’s no out-of-office status for assignment at all — the rules will hand a lead to a rep who is on leave, or even one who has left the company. Distribution Engine adds that layer without code.
What happens to leads that arrive out of hours?
You choose. Hold them in a queue and release them when the team comes online, route them to an on-call rep, or pass them to the next region that’s starting its day. The point is that an overnight lead is handled by a deliberate rule rather than landing on a desk nobody will sit at until morning.
Can routing respect different time zones?
Yes. Availability is evaluated against each rep’s own working hours and time zone, so a rep in PST isn’t treated as available at 9am GMT. That’s what makes follow-the-sun coverage work — as one region logs off, the next picks up.
Can I run shift patterns?
Yes. Define who is on shift when, and leads route only to the people currently working. It suits inside-sales teams running staggered cover, and support teams handing off between regions through the day.
Does it also skip reps who are overloaded?
That’s the companion rule. Availability answers “is this rep here?”, while workload and capacity limits answer “do they have room?”. Distribution Engine applies both, so a lead only goes to someone who is present and has capacity to work it. See Route by Workload for capacity limits and caps.
What if a rep leaves the company?
Inactive users are skipped automatically, so leads stop flowing to them the moment their Salesforce user is deactivated. It’s a small thing that quietly causes a lot of lost pipeline in orgs relying on native assignment rules.
