What is workload-based lead routing?
Workload-based routing assigns each lead to the rep with the most room to take it, rather than the next name in the rotation. It counts what each person is already carrying and skips anyone at their limit. Distribution Engine lets you set capacity limits per rep, balance by live open workload, and cap daily or weekly volume — all inside Salesforce, no code.
How do I make sure reps only get leads within their capacity?
Set a capacity limit against each rep — a maximum number of open leads, or a cap on how many they can receive per day or week. Distribution Engine checks that limit on every assignment and skips anyone who’s reached it, passing the lead to the next rep with room. Pair it with availability rules so out-of-office reps are skipped too, and no lead ever lands with someone who can’t work it.
What should a round robin tool include to handle capacity?
At minimum: per-rep capacity limits, daily and weekly caps, live counting of open records, weighting so stronger reps can take more, and an overflow path for when everyone is full. It should also respect availability, so a rep on holiday isn’t handed leads they can’t touch. Distribution Engine does all of this without code, on Leads, Cases or any object.
Can Salesforce cap how many leads a rep receives?
Not for Leads. Omni-Channel can apply capacity to Service work items, but native lead assignment rules have no concept of how much a rep is already carrying and no way to cap what they’re given. Distribution Engine adds capacity limits and volume caps to Leads, Cases and any custom object.
How is workload actually measured?
However you define it. Count open leads, leads not yet contacted, active cases, open opportunities — or a combination, filtered by your own criteria. The count runs live against your Salesforce records, so it reflects the real state of the pipeline rather than a nightly snapshot.
What happens if everyone is at capacity?
You decide the overflow. Leads can wait in a queue until someone frees up, spill over to a backup team, or trigger an alert to a manager so they can add cover. Nothing is silently dropped, and nothing is force-fed to a rep who has no room for it.
Can I give stronger reps more leads?
Yes. Weighting lets you give senior or higher-converting reps a larger share of the volume, while newer reps ramp up more slowly. Their capacity ceilings still apply, so weighting changes the split without pushing anyone past what they can handle.
Does workload routing work alongside round robin?
They’re designed to work together. Round robin sets the rotation; workload rules decide who in that rotation can actually take the next lead. A rep at their cap is simply skipped, and the rotation carries on — so distribution stays fair without anyone being buried.
